Connect Your Calendar for Online Booking
When a "Schedule a Meeting" or booking button is added to your website, the times it offers come from a real person's calendar. Until that calendar is connected, the system has no way to know when you are free, so the booking feature stays switched off. Connecting your calendar is a one-time step that takes about two minutes, and after that the system keeps your availability accurate on its own.
What You Need Before You Start
- Your platform login. You will have received an invitation email from the platform when your account was created. Use it to set your password. If you cannot find it, check your spam folder or contact support.
- Your calendar account sign-in. This is the email address and password you already use for your work calendar (for example your Microsoft or Google account). Multi-factor prompts, if your company uses them, appear as part of the normal sign-in.
Connect Your Calendar, Step by Step
- Sign in at app.symphonycore.com.
- Click your profile icon in the top-right corner and open My Profile. (If your account shows a Settings menu on the left, My Profile is listed there too.)
- Scroll down the profile page to the Calendar Settings section. If no calendar has been connected yet, it reads "No connections found."
- Click + Add new. A window opens listing the calendars you can connect.
- Find your calendar provider and click Connect next to it:
- Google calendar — any Google or Google Workspace account
- Outlook calendar — Office 365, Outlook.com, live.com, or Hotmail
- iCloud calendar — Apple iCloud accounts
- Calendly — syncs your existing Calendly events into the system
- A sign-in window for your provider opens. Sign in with your regular work email and password, and accept the permission prompts. This is what authorizes the system to read your availability.
- When the window closes, your calendar appears under Connected calendars. You are done.
What Happens After You Connect
The connection works in both directions, and there is nothing extra to maintain:
- Your real availability is offered. Booking pages only show times that are open on your connected calendar.
- Busy means busy. Meetings already on your calendar, and time marked out of office, are automatically hidden from the booking page.
- No double bookings. When someone books a slot, that slot is blocked immediately for everyone else, and the appointment appears on your calendar.
- Privacy is preserved. People booking time only ever see open slots. They never see the names, details, or contents of anything on your calendar.
The only habit that matters: keep your regular calendar accurate. If your calendar says you are free, the booking page will offer that time.
Set Your Timezone
Below Calendar Settings you will find Additional calendar settings, including a "View appointments in" timezone selector. This controls how appointment times are displayed to you in the app and in appointment emails. It does not change your availability or how others book with you, but setting it to your local timezone avoids confusion when reading appointment confirmations.
Optional: Connect Video Conferencing
The same window that lists calendars also lists video conferencing tools: Zoom, Microsoft Teams, and Google Meet (Google Meet requires a connected Google calendar). Connecting one lets the system generate a unique meeting link automatically every time an appointment is scheduled, so you never have to create and paste meeting links yourself. This is optional; phone and in-person appointment types work without it.
Troubleshooting
I connected the wrong account. Open Calendar Settings, remove the connection, click + Add new, and connect again with the correct account.
I don't see Calendar Settings or the Add new button. Your login may not have been fully set up yet. Contact support and we will sort it out.
The booking page shows times I'm not actually free. The system mirrors your calendar, so check that the conflicting event exists on the calendar you connected and is marked as Busy (not Free). All-day events marked Free do not block booking.
My work password changed. If your calendar provider password changes, the connection may need to be re-authorized. Reconnect from Calendar Settings using the steps above.

Which calendar should I connect? The one you actually keep up to date. The system can only be as accurate as the calendar behind it.
Can more than one person connect a calendar? Yes. Each team member with a login connects their own calendar from their own profile, and each booking calendar is tied to the right person's availability.
Does this give the system access to my email? No. The connection is scoped to calendar availability and events, not your mailbox.
