Setting Up Your Facebook and Instagram for Business
For Symphony Core to manage your social media presence, schedule posts, respond to messages, and report on performance, your Facebook and Instagram accounts need to be set up as business accounts. Personal accounts do not offer the tools that make professional management possible.
This article explains what the right setup looks like, why it matters, and exactly how to get there. The whole process takes about 15 minutes, is free, and does not change any of your existing posts, photos, or followers.
1. Why Business Accounts Matter
Business accounts unlock capabilities that personal accounts simply do not have:
- Insights and analytics. See who your audience is, when they are online, and which posts perform.
- Contact options. Add a call button, email button, directions, and business category to your profile.
- Advertising. Boosted posts and ad campaigns require a business presence.
- Team access. Multiple people (your staff, and Symphony Core) can manage the presence through proper roles, without sharing your personal login.
- Platform integration. Your Symphony Core platform connects to business accounts to schedule posts, capture leads, and pull messages into one inbox. It cannot connect to personal accounts.
The conversion is free, takes minutes, and your followers, posts, and photos all stay exactly as they are.
2. Facebook: Your Business Needs a Page
On Facebook there are three ways a business can show up, and only one of them is right:

How to check what you have
If customers find your business at a profile that has "friends" rather than "followers and likes", or you log in to it with its own email and password as if it were a person, it is a personal profile, not a Page. A Page is always managed from a personal account, it does not have its own login.
How to create a Page (if you do not have one)
- Log in to Facebook with your personal account
- Go to Menu and select Pages, then Create New Page
- Enter your business name, category, and description
- Add your profile photo (logo), cover photo, hours, phone, and address
- Publish the Page
Your personal profile stays private and separate. Customers only ever see the Page. If a former employee or an old account currently controls your existing Page, let us know, and we will help you regain admin access before anything else.
3. Does Your Page Live in a Business Portfolio?
A Meta Business Portfolio (you may know it as "Business Manager") is a free container at business.facebook.com that holds your business assets — your Page, ad account, and team roles — in one place. It is how you give staff and partners access without ever sharing a login, and it is how Symphony Core connects to your Page as an agency.
You do not need one just to have a Page. You do benefit from one when several people help manage the Page, when you run ads, when you work with a partner like Symphony Core, or when the business has changed hands and you want ownership clearly in the right place.
How to check whether you already have one
- Go to business.facebook.com and log in with the Facebook account that manages your Page. If you land in a business portfolio, open Settings and look under Accounts > Pages — is your Page listed there?
- If you only ever manage the Page straight from your personal account and business.facebook.com asks you to create something new, you most likely do not have a portfolio yet — which is perfectly fine.
One thing that matters either way: know who owns the portfolio your Page sits in. If your business changed hands, or a previous marketing company set things up for you, the Page may still live inside someone else's portfolio. Tell your Symphony Core contact if that might be the case — we will help sort out ownership before anything else.
How to create one (about 5 minutes)
- Go to business.facebook.com and choose Create a business portfolio
- Enter your business name, your name, and a business email address
- In the portfolio, open Settings, then Accounts > Pages, choose Add and select your existing Page

4. Instagram: Switch to a Professional Business Account
Instagram offers two professional account types: Creator (for influencers and public figures) and Business (for companies). Your shop or business needs the Business type. That is what enables contact buttons, insights, and the platform connection.
Before you start
- The account must be public, not private. Business accounts cannot be private.
- There is no follower minimum, and switching is free and reversible.
Steps (in the Instagram app)
- Go to your profile and tap the menu (three lines, top right)
- Tap Settings and activity
- Scroll to For professionals, then tap Account type and tools
- Tap Switch to Professional Account and continue through the intro screens
- Choose the category that best describes your business (for example, Local Business or Retail)
- When asked to pick between Creator and Business, choose Business
- Confirm your contact details and finish
Your posts, followers, and username do not change. The only visible difference is that your profile now shows your business category and contact buttons.
5. Link Your Instagram to Your Facebook Page
This is the step most businesses miss, and it is the one that makes professional management possible. Your Instagram Business account needs to be connected to your Facebook Page.
- In the Instagram app, go to Settings and activity
- Open Accounts Center (this manages your Meta account connections)
- Under Connected experiences, tap Sharing across profiles or Accounts, and add your Facebook account if it is not already there
- When prompted, choose the Facebook Page that represents your business (not your personal profile)
You can also do this from the Facebook Page side: open your Page's Settings, find Linked accounts (or Instagram), and connect your Instagram account from there.
Once linked, the two accounts act as one business presence: posts can go to both at once, messages from both arrive in one place, and ads can run across both.
6. Readiness Checklist

- Your business has a Facebook Page (not a personal profile or professional mode), and someone at your business is its admin
- You know whether the Page sits inside a Business Portfolio — and if it does, the portfolio belongs to your business, not a former owner or old vendor
- Your Instagram is a Professional account of the Business type, and the account is public
- The Instagram account is linked to the Facebook Page

Q. Will my existing posts, photos, or followers change? No. Converting to a business account changes the tools available to you, not your content or audience.
Q. Will my followers be notified that anything changed? No. The only visible difference is your business category and contact buttons appearing on your profile.
Q. Can I switch back to a personal account later? Yes. Instagram lets you switch account types at any time, for free. (Keep in mind that switching back disconnects business tools, including Symphony Core's management.)
Q. Why Business and not Creator on Instagram? Creator accounts are designed for individual public figures and lack some business features. Management platforms and several business tools require the Business type.
Q. I use my personal Facebook profile for my business today. Do I lose anything by creating a Page? No. Your personal profile stays untouched. The Page becomes the public face of the business, and you can invite your profile's followers to like the Page.
Q. Does Symphony Core need my Instagram or Facebook password? Our standard approach uses role-based access rather than passwords wherever possible. If a password ever does need to change hands during setup, we will never ask you to send it in the same message as your username, and we will agree on a secure way to share it. Be cautious of anyone who asks otherwise.
Q. My account has two-factor authentication. Is that a problem? No, keep it on. It protects your account. During setup we may ask you to relay a verification code at an agreed time, and that is normal.
